At GottaBe! our clients are at the heart of everything we do, the Office Administrator will support the senior management team with day to day office management. We are also looking for an individual with an attention to detail and quirky ideas are what we’re after!
Job description

Reporting toOperations Manager

  • Maintain office efficiency by maintaining the appearance of common areas, organising procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment
  • Oversee the day-to-day activities of the office as the main point of contact in the reception area, keeping management informed of performance with routine and requested reporting
  • Provide direct administrative support as needed, including scheduling appointments, meetings, and events, booking travel, maintaining a filing system, mailing and shipping packages, and updating the contact database and employee list
  • Oversee and maintain office equipment for uninterrupted function, identify and fulfil office supply needs, maintain and manage vendors, and coordinate food delivery as needed
  • Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior management
  • Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contact database
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
  • Organise team communications and plan events, both internally and offsite
  • Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested
  • Assisting with onboarding of clients and their admin needs
  • Ad-hoc duties as and when required.
Skills & Experience

  • 1+ years of office management experience
  • Strong time-management and people skills, flexibility, and multitasking ability
  • Advanced computer skills and experience with online platforms
  • Proficiency Microsoft Office, with aptitude to learn new software and systems
  • Superb written and verbal communication skills
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
  • Ability to keep company confidences
Salary & perks

Salary will depend on experience
28 Days of Holiday, inclusive of Public Bank Holidays

Working hours

You would be required to work 09.00-17.30 Monday to Thursday and 09.00-17.00 on Fridays, equating to 37.5 hours per week. There are occasions where you would be required to work outside of these hours and on weekends.
